In this policy, “AECT”, “we”, “us” and “our” refer to AECT Group Pty Ltd (ABN 44 659 415 326), trading as AECT Solutions and Space Focus Australia. We are an Australian-registered geospatial technology and digital twin services provider headquartered in Queensland.

We are the data controller for the personal information we collect through this website (aect.solutions) and through our sales, services, training, and partner activities.

We collect only what we need to deliver our services, comply with our obligations, and improve your experience. Specifically:

• Contact details — name, email, phone number, company, role.
• Project information — site location, scope, deliverables, industry, timeline (so we can scope work and quote accurately).
• Survey & spatial data — point clouds, 3DGS captures, imagery, and metadata you ask us to capture, process, or host on your behalf.
• Marketing engagement — newsletter subscriptions, event registrations, content downloads, and resulting email/click metrics.
• Technical data — IP address, device, browser, referring URL, and pages visited (cookies and analytics; see Section 6).
• Records of correspondence — emails, calls, meeting notes, and CRM records relating to enquiries, quotes, contracts, and support.

We do not deliberately collect sensitive information (health, racial, political, religious, sexual orientation, criminal history) and do not collect government identifiers (TFN, Medicare, passport) unless required for a specific contract (e.g. ID checks for restricted government sites).

• Directly from you — when you fill in a form on this website, email us, request a quote, sign up for the newsletter, register for an event, or sign a contract.
• From your authorised representative or employer.
• From publicly available sources — LinkedIn, ABN Lookup, professional directories — to qualify B2B prospects.
• From our service partners — XGRIDS, DJI, Cloudflare, HubSpot, Microsoft (Outlook/365), and similar — strictly to operate the services you engage us for.

We use your personal information to:

• Respond to enquiries, prepare quotes, and deliver services (drone surveys, scanning, processing, training, consulting, equipment supply or rental).
• Manage our customer relationship — invoicing, support, renewals, project records.
• Send you information you have asked for (newsletter, product updates, event invites). You can unsubscribe at any time.
• Comply with our legal and regulatory obligations — including Civil Aviation Safety Authority (CASA) flight records, Australian Tax Office (ATO) records, and ISO 9001/14001/45001 audit trails.
• Improve our website, content, and services.

We will not sell your personal information. We will not use it for purposes outside what is reasonably expected at the point of collection unless you consent or the law requires it.

We share personal information only with:

• Our team and contractors — bound by confidentiality, need-to-know basis.
• Service providers we use to run our business — including HubSpot (CRM & marketing), Microsoft 365 (email, productivity), Cloudflare (hosting & CDN), Xero or equivalent (accounting), and Vercel/OpenNext (web infrastructure).
• Project partners you have asked us to collaborate with on a specific engagement.
• Regulators or law enforcement where we are required by Australian law to disclose.

On-shore by default. Where we have direct control (XGRIDS LCC processing, AECT-managed storage), data stays in Australia. Some of our SaaS providers (e.g. HubSpot, Microsoft 365) operate global infrastructure — we choose providers with strong Australian privacy commitments and we minimise what is sent offshore.

This website uses:

• Essential cookies for site functionality.
• HubSpot tracking to attribute marketing engagement, score leads, and personalise follow-up. HubSpot cookies are first-party to aect.solutions.
• Privacy-respecting analytics to measure aggregate traffic and improve content.

You can clear or block cookies at any time through your browser settings. Doing so may degrade site functionality.

We retain personal information only as long as needed for the purpose it was collected, plus any period required by law or by our ISO-aligned record-keeping obligations:

• Sales enquiries: up to 3 years from last contact.
• Customer records (invoices, contracts, project deliverables): 7 years (ATO requirement).
• Newsletter subscriptions: until you unsubscribe.
• CASA flight logs: as required by CASR Part 101.

After the retention period, we delete or de-identify the information.

• Encrypted in transit (TLS 1.2+) and at rest where the platform supports it.
• Access on a least-privilege, need-to-know basis with multi-factor authentication.
• ISO 9001 / 14001 / 45001-aligned management system controls (documented procedures, access reviews, incident response).
• Australian-based primary data hosting where we control the stack.

No system is impenetrable. If we ever experience an eligible data breach under the Notifiable Data Breaches scheme, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) as required.

Under the Australian Privacy Principles, you have the right to:

• Access the personal information we hold about you.
• Correct it if it is inaccurate, out-of-date, incomplete, or misleading.
• Withdraw consent for marketing communications at any time (every email has an unsubscribe link).
• Complain if you think we have mishandled your personal information.

If you are not satisfied with our response, you can lodge a complaint with the Office of the Australian Information Commissioner: oaic.gov.au.

This website and our services are intended for business and professional audiences. We do not knowingly collect personal information from anyone under 16. If you believe we have, please contact us and we will delete it.

We may update this policy from time to time. The “Last updated” date at the top of this page reflects the most recent change. Material changes will also be communicated through our newsletter or a banner on this website.
