Three stops, three teams, three scanners going into someone's hands for the first time. None of those visits were sales calls. Every one of them was onboarding.

That day is not unusual for us at AECT. It is how we deliver. When a client buys a Lixel scanner or a PortalCam through us, the job is not finished when the hardware leaves our hands. It is finished when their team walks off their first site with data they can actually use.

Delivery does not end at the loading dock

Most hardware purchases in this industry end with a courier signature. The box arrives, the manual is in the box, and the rest is the buyer's problem. That model works fine for a laptop. It does not work for reality capture, where the difference between a clean dataset and an unusable one is decided in the first ten minutes of a walk.

What an onboarding day actually covers

Onboarding is not a product walkthrough. It is a workflow session built around what your team is going to scan next week, on your site, with your deliverable at the end of it. A typical session covers:

  • →Hardware setup, battery handling, storage and charging routine
  • →Trajectory planning and walking technique for clean SLAM data
  • →RTK and PPK setup, and when you genuinely need each one
  • →Capture in your real environment, not a demo room
  • →Processing the scan through to a deliverable your client will accept
  • →Export formats and how the data lands in the software you already use
  • →Who to call when something goes sideways on a Friday afternoon

The gear we hand over

The scanners we onboard most often are the XGRIDS family. The Lixel K2 is the lightweight flagship at under 1 kg, with built-in RTK, real-time colourised point cloud, 1 cm relative accuracy and 3 cm absolute accuracy RMSE. The Lixel K1 stays in the lineup for GPS-denied work such as tunnels and underground, where SLAM has to carry the whole job. The L2 Pro is the 32-line enterprise unit for corridor and large-area work, handheld or drone-mounted. And PortalCam is the dedicated 3D Gaussian Splatting camera at 870 g, built for real estate, heritage documentation and small-space scanning.

Software is part of the handover too. LixelStudio ships with three permanent PC keys alongside each XGRIDS SLAM LiDAR scanner, and LCC Basic gives unlimited local single-scene 3DGS reconstruction at no licence cost. Knowing which tool to reach for is half the training.

ISO-integrated workflows, not just a box of gear

I came to this from the field, not from a tech shop — years of hands-on civil, infrastructure and construction work, then a shift into HSEQ, and ISO 9001, 14001 and 45001 Lead Auditor certification. That background changes what onboarding looks like. We are not just showing you which button starts a scan. We are making sure the capture routine, the file naming, the accuracy verification and the record keeping fit inside the management system your business already has to answer to.
